The Biggest Communication Mistake Leaders Make

The most common communication mistake leaders make is assuming clarity. They believe people understand what they meant, never confirm alignment, and move forward based on that assumption. Sound familiar? 

When instructions are delivered the first time, most teams hear the headline. The nuance gets diluted. The context fades. Later, as the team interprets the message on their own, priorities collide, and confusion spreads. What began as a minor gap quietly turns into a costly detour. 

Clarity is not what you say. It’s what they can repeat back with precision. 

Clarity rarely happens for everyone the first time they hear a message. To improve this, start by saying the what, the why, and the when. Don’t forget to mention what will not happen, then check to confirm understanding. Ask someone to repeat it in their own words. Thank them, and then fill in any gaps. 

Connect your message to the bigger story. For example, show your team how this change  benefits the customer or the team. Cover any trade-offs involved. Say it clearly. People can handle the truth, but they can’t handle unclear instructions. 

Use simple language to share your message and directions. Take it slow, focusing on one idea at a time. Repeat the core message live and in writing. Repeat it in one-on-one meetings and team huddles. Repetition isn’t boring when it has a purpose. 

Make sure people know you value questions and answer them thoroughly. Close the loop publicly so everyone ends up with the same understanding. When people see clarity and care, they respond with energy.
