We’re all human. In conversation, we rush to persuade or defend and then wonder why it doesn’t land. Most people aren’t listening to understand; they’re listening to respond. And that’s where it breaks. Better outcomes don’t come from saying more; they come from saying what actually matters to the person in front of you.
Every conversation has a driver. The other person is looking for something in that moment. Clarity. Certainty. Recognition. Control. Progress. Safety. Belonging. When you speak to the need, the message takes care of itself. Miss the need, miss the moment. Before your next conversation, pause and ask: What does this person need right now? Reassurance, a decision, or to feel heard. Listen for the signals. If they’re asking “how,” they need clarity. If they’re asking “when,” they want certainty. If they’re repeating themselves, they want recognition. If they’re jumping to solutions, they’re looking for control. Hit the need, and everything changes.
When you identify the need, you can speak to it directly. For example, you might say, “Sounds like what matters most is having a clear next step by Friday.” Watch their shoulders drop.
Try to confirm the desired outcome before adding new content. This could look like, “If we could achieve ‘X’ today, would that be a win?” Now you’re aligned.
When you miss the need, you talk past each other. You over-explain to someone looking for recognition, bury a decisive person in context, or push urgency on someone whose need is safety.
When you find their need, you unlock cooperation, save time, reduce conflict, and build credibility.
